Terms and Conditions

These terms apply to all members joining up front or on monthly direct debit membership packages with a three/six/twelve-month commitment period.

You will be a member for at least three/six/twelve full calendar months, which is your minimum term. Your membership will continue automatically after your minimum term unless you terminate your membership in line with section 5 below.
We reserve the right to change our timetable at any time. If we are removing or changing a session on the timetable we will give all members a minimum of 7 days’ notice of the change.
  1. Membership fees
There is no joining fee but all members are required to purchase their own Heart Rate Monitor and strap, which can be paid for in advance by cash, credit or debit card, or added to your first payment.
If we have agreed any special terms with you regarding the membership fee they have been noted on your account.
  2. Up Front membership fees
For members who pay their membership fees in full at the start of their membership, section c. notes do not apply. Your upfront fee will be as discussed.
  3. Monthly membership fees
Monthly membership fees are paid in advance via Stripe Card Payment. This will be taken from your bank account on the first working day of every month.
  4. Missing membership fee payments
If you don’t pay your membership fee on time, we will email to tell you. We will continue to attempt to collect your subscription via Stripe Card Payment unless you contact our membership team and arrange alternative payment. You may be charged a one-off non-payment fee of £25 for this. In addition, we may charge you up to £100 if we refer your arrears to a debt collection agency. Until your fees are successfully collected, and your account brought back up to date your membership will be suspended and you will be unable to attend sessions.
  5. Fee changes
We reserve the right to change the membership fee at any time throughout your contract after the first 3 months. If we do make any changes to the membership fee we will inform you in writing via email at least 30 days before the increase comes into effect.
  1. Suspending your membership
After the end of your minimum term you can suspend your membership at any time. You can only suspend your membership for full calendar months for a period of up to six months. Your membership will then be suspended in line with your billing date. When suspending your membership, you will need to supply a re-start date in line with your billing date; your membership fee payments will automatically re-commence on that date. You are responsible for ensuring that we have received written confirmation of your suspension request and re-start date.
If you have a medical condition which prevents you from training temporarily, you may suspend your membership within your minimum term. Outside your minimum term we permit extended suspension periods for medical conditions. Medical suspension periods can be a maximum of twelve months. We will require proof of your medical condition (such as a doctor’s certificate). We will suspend your membership upon receipt of doctor’s certificate or other proof.
  2. How to cancel your membership
After your membership minimum term has expired, should you wish to cancel your membership you must give us at least one calendar month’s written notice before your next billing date. Your membership will end on the next billing date. For notices received less than one calendar month before your billing date, membership will end on the billing date of the following month. Notices received after 18.00hrs will be deemed to have been received on the next working day. You are responsible for ensuring that we have received your written notice.
  3. Early cancellation
If you wish to cancel your membership before the end of your minimum term for a reason not included in clause 5 (d) below, you must inform us in writing. You will have to pay the remainder of your contract in full in cash or bank transfer before your cancellation is activated.
  4. Cancellation for medical reasons, relocation or redundancy
We may allow you to cancel your membership before the end of the minimum term if you:
    • Have a medical condition that stops you from attending classes
    • Relocate more than 30 minutes’ drive from The BodyZone Studio (as measured by Google Maps fastest route planner)
    • Are made redundant
We will need to see proof of these circumstances and your membership will be cancelled from the next billing date. You are responsible for ensuring that we have received your written notice and proof of circumstances.
  5. Transferring of membership
Your membership is personal to you and cannot be assigned or transferred to another individual.

We will cancel your membership immediately if you:

  • Break these terms and conditions
  • Put the health, safety or wellbeing of other members or our employees at risk
  • Allow other people to use your membership to attend classes
  • Engage in disruptive or violent behaviour

We require at least 12 hours’ notice if you wish to change or cancel the session you are booked into. Failure to give this notice will result in you being charged for the session.

Minimum time, maximum results are our mantra and in order to keep this, we need to start sessions on time. Please aim to arrive at least 10 minutes before the session start time. If you arrive after the time the session is due to start, we may not be able to accommodate you in that session and it will be classed as a late cancellation as per section above.

We are not legally responsible for any possessions you lose or that are damaged or stolen at the venue by anyone unless we have been negligent. If you have an accident or injure yourself at one of our classes, you must report this to the trainer straight away.

We take our responsibility for looking after your personal information very seriously. We will not share your personal details with any other party or company. You are responsible for informing us about any changes to your personal information.

We may change these terms and conditions. We will give you at least 30 days’ notice to inform you of any significant changes that may affect your membership.
